If the Delete button is grayed out in Outlook and you cannot delete any email, here is how you can get rid of this problem. Whether you get this problem on the latest version of Outlook 365 or an older edition, it is possible to use some of the solutions on both.
The Delete option helps you delete emails. When you delete an email, it sends it to the Deleted Items folder. No matter whether you use @outlook.com or gmail.com, or any other email account, this process remains the same. Sometimes, you might want to delete emails you don’t need or think are unnecessary. In such moments, if the Delete option doesn’t work or it is grayed out, it could be a real problem.

1] Try other methods
Apart from using the Delete button in the ribbon, you can use other methods to remove any email. There are three more commonly used ways to delete any email.
First, you can hover your mouse over an email and find the Trash Can icon on the right side.
Once you click on it, your email will be transferred to the Deleted Items folder.
Second, you can right-click on the desired email you want to delete and choose the Delete option from the context menu.
Third, you can click on an email and drag it to the Deleted Items folder.
However, these solutions do not change the fact that your Delete option is still not working. To fix it permanently, you can go through the actual subsequent solutions.
2] Empty Deleted Items folder
Sometimes, if the Deleted Items folder contains hundreds of emails, it may fail to show the Delete button. As a result, you cannot delete emails in Outlook. That is why it is suggested to clear up the Deleted Items folder and check if it fixes the problem for you or not. For that, you can open the Outlook app and click on the File menu.
Then, expand the Tools menu and select the Empty Deleted Items Folder option.
Click on the Yes button to continue.
3] Reset custom views
This problem might sometimes occur when using a custom view setting in Outlook. As Outlook allows users to create and use custom views, many people often use this facility. However, the same thing could cause an issue on your computer. That is why you should reset Outlook view to default and check whether it resolves the problem.
4] Repair or create a new PST file
The PST file is Outlook’s data file, which contains all the settings, customizations, accounts, etc. If this file is corrupt, you may find different problems using your Outlook app, including this one. That is why it is recommended to repair the PST file first. If it doesn’t fix the issue, you should create a new PST file.

5] Run Outlook in Safe Mode
Like Word, Excel, and PowerPoint, Outlook also allows users to install add-ins to enrich the user experience. However, some add-ins may prevent you from deleting emails by graying out the Delete button. That is why you should run Outlook in Safe Mode first. If the Delete button works here, you need to get out of the Safe Mode and enable one add-in at a time to find the faulty one.
6] Repair Office
If none of the above-mentioned solutions worked for you, you should repair Office once. For that, you do not need a third-party app or anything else. You can go through this step-by-step guide to learn how you can repair Office on Windows 11/10.
