How to change Permissions for a Notebook on OneDrive

Microsoft’s OneNote notebook is a digital notebook for organizing and saving information in order to make notes and share the notes over the internet. The original version of OneNote is OneNote 2016 which was first released for Microsoft Office 2016  and the notes related to this version are stored locally on computer devices. While OneNote 2016 is no longer updated with new features, it is optionally available for the users who are using locally stored notebooks.

OneNote allows users to share the notebook with friends, colleagues, and family thus promoting multi-user collaboration. It is also possible to grant editing permissions with the people you share notes. The participants can view and fully edit your notes and all the modifications will be updated automatically. If you have already shared your OneNote notebook on OneDrive, you will be having the flexibility to change the permissions for a notebook on who can only view them or edit them. In this article, we explain step by step on how to change permissions for a OneNote 2016 notebook on OneDrive. First of all, to begin with, you need to share locally stored notebooks on OneDrive before changing the permissions for who can edit it or only read the notebook.

Change permissions for a Notebook on OneDrive

Go to Start and Open OneNote. Open the shared notebook. Go to File and click on Share. Now click on Share with People.

Under the option called Shared with, Choose the person name and right click on it and choose between the two options from the drop-down either to change the permissions to only view the notebook or edit the notebook.

  • Choose Can View from the option given to grant only the viewing permission.
  • Choose Can Edit from the option given to grant the editing rights.

To withdraw the access to the notebook, Choose Remove User from the option.

On a related note, OneNote users can invite people in the mail to view the notebook. All one has to do is send an email invitation to the people you wish to have as a participant to open the notebook. The following steps will guide you on how to invite people in a mail to open the notebook.

Invite People to see notebook

Open OneNote and click on your notebook you wish to share. Go to Files and click on Share.

Under the Share with People option, type the names or email address of the participant you like to share your notebook.

On the right side of the page, choose between the two options from the drop-down menu. Either you can allow the participant to edit your notebook or only allow the participant to read/ view the notebook.

One can also add the note in the blank box and click on Share to send the email invitation.

Generate a link to your notebook

OneNote also allows its users to generate a link to the notebook so that people can edit or view it. This link can also be shared by the participants among his/her friends so that they will be as well able to view the notebook. To get a sharing link follow the steps mentioned below

Open OneNote and click on a notebook for which you want to generate a sharing link. Go to File and click on Share. Click on Get a Sharing Link.

Change permissions for a Notebook on OneDrive

Choose between the options either View link so that the participant can only view the notebook or Edit link wherein the participant is allowed to modify the notebook.

Click on Create Link.

Suppose if you change your mind and would want to stop that link from working, you can disable the sharing link so that the participants can no more view or edit the notebook. To disable the sharing link follow the steps mentioned below

Go to File and click on Share. Click on Get a Sharing Link.

Click on Disable Link next to either View Link or Edit Link.
